Scheduling FAQs

Thank you for using our online scheduling!

To redeem a voucher purchased from a third party, please follow these steps to schedule your appointment:

1. Visit our online scheduling page.
2. Review your voucher.
3. Take note of any scheduling restrictions (days of the week, times of day) and the treatment that the voucher is valid for.
4. Under the column labeled “What Kind,” select a service from the drop-down menu. Massages are listed under “Massage.”  Feldenkrais/Somatics treatments are listed under “Wellness or Integrative and Workshops.”
5. A new drop-down menu will appear.  Select the service that is listed on your voucher.
6. Click the brown “Select This Service” button.
7. Under the column labeled, “With Whom,” you may request a specific provider, or specify whether you would prefer a male or female massage therapist.
8. Under the “When” section, select the date and time you wish to schedule.
9. Fill in the blanks of the page that appears.  Please note that the “Special Code” field will not recognize third-party voucher numbers.  You will need to enter your credit card number in order to secure the appointment.  Be assured that your credit card will not be charged.
10. Be sure to review and accept the terms of our cancellation policy.
11. In the “Special Requests” field, please enter the voucher’s barcode number.
12. Click Complete Booking and watch for your confirmation email.

If you have trouble scheduling your appointment, please don’t hesitate to email us with your appointment request.  Be sure to include your voucher’s barcode number and your telephone number in your email.

Please note that our evening and weekend appointments often fill several weeks in advance.  If you are hoping to schedule your appointment on a weekend or after 6pm, consider searching for dates more than three weeks out.  Our system will allow you to search for dates quite far into the future, so its easy to plan a massage around a special event!  Also keep in mind that we have both male and female massage therapists on our team, and each massage therapist works a set schedule.  Not all team members provide every service on our menu.  If you are having trouble finding an appointment on a given day of the week, consider changing any gender or provider specific search parameters.

Why do I need to enter a credit card? What if I have a gift certificate or voucher? Will my card be charged?

We do require a credit card number in order to hold all appointment. For most services there is no charge to your card except if you are unable to meet the terms of our cancellation policy.

For some services, such as our restorative yoga class, we do require pre-payment. However, you will see the words  “pre-payment required, your credit card will be charged at the time of scheduling” in the service description.

If you have a gift certificate and you are unable to meet the terms of our cancellation policy then your gift certificate will be charged rather than your credit card. Likewise, if you provide a non-Spa Room voucher number in addition to your credit card, your voucher will be redeemed and your credit card will not be charged.

I made an appointment online, how do I know that it went through?

When you complete the online booking process you will receive an email confirmation from The Spa Room with the subject line “New Appointment”.

If you didn’t receive this email ( check your spam folder too!!) then your appointment has not been made.

You can call or email us and we will help you out!

I keep getting “No Appointments Available” for every date that I search!

When you search for multiple guests then our system will only search for times when that number of services are available at the same time.

We have four treatment rooms, so if you search for more than four appointments you will always get “no appointments available.”

If you are searching for multiple appointments at the same time and still having no luck, then you might try searching for just one (or two) appointments right after another, rather than many appointments at the same time.

Typically we have openings at least one week ahead for weekday appointments and two weeks ahead for weekend appointments.

If you are using a third-party voucher and are having trouble finding an appointment, be sure to double check the voucher.  Many third-party vouchers have scheduling restrictions.  If you can’t find a session and have checked multiple dates, make sure that you are searching for an appointment on a day and at a time when the voucher is valid.

I’ve tried calling, but no one ever seems to answer.  What’s going on?

As a boutique wellness studio, we don’t have a traditional front desk.  We find that having ringing phones and reception staff detracts from the peaceful environment that we work to maintain.  Instead, our team of practitioners handles all phone and email communication.  This means that whoever you speak to has first-hand knowledge of the services that we provide, and can answer any questions you might have in a specific and meaningful way.  It also means that of all of our practitioners are busy with clients, there is no one to answer the phone.  If you call and get our voice mail, please do leave a message!  We check our voice mailbox quite frequently and return most calls the same day.  Our voice mailbox does have a time stamp, so if you are calling to cancel or reschedule your appointment and leave a message, we’ll know that you called outside of the 24-hour window even if we don’t hear your message right away, so there is no need to worry.

I’m trying to make an appointment on short notice, but we’re playing phone tag.  How can I get you my credit card information?

We understand that it doesn’t feel comfortable leaving credit card details on a voice mail message, but we do require some form of payment to hold all appointments.  If you need to get your credit card information to us before you can speak to someone in person, you can create a billing account online.

2.Complete the sign up form.
3. Click on your name in the top right corner to finish setting up your account.
4 Click the payment information box.
5. Enter your billing information and click update.  Your credit card information will be securely stored.
